Reports To: Practice Manager Job Summary:We are seeking a detail-oriented and organized Medical Records Specialist to join our healthcare team. The ideal candidate will be responsible for maintaining, organizing, and ensuring the accuracy, quality, and security of patients’ health records in accordance with legal, ethical, and regulatory standards. This role plays a crucial part in supporting clinical staff and improving patient care by ensuring timely and accurate access to medical documentation.Key Responsibilities:
  • Review, organize, and maintain medical records in both electronic and paper formats.
  • Ensure completeness, accuracy, and compliance of records with medical, legal, and regulatory standards (e.g., HIPAA).
  • Process requests for medical records from patients, providers, and external parties in accordance with established policies.
  • Assign appropriate medical codes for diagnoses and procedures, if required.
  • Conduct audits to verify record integrity and follow up on incomplete or missing documentation.
  • Support quality assurance initiatives and assist in compliance reporting.
  • Collaborate with healthcare providers and administrative staff to streamline record management processes.
  • Maintain strict confidentiality and security of all patient data.
Qualifications:Education:
  • High school diploma or equivalent required
  • Associate’s degree or certification in Health Information Technology (HIT) or related field preferred but not required
Experience:
  • 1+ year(s) of experience in medical records, health information management, or a related healthcare administrative role is preferred 
  • Experience with EHR systems (e.g., Epic, Cerner, Meditech) highly preferred
Skills:
  • Strong attention to detail and organizational skills
  • Excellent knowledge of medical terminology and privacy regulations (HIPAA)
  • Proficient in Microsoft Office and database management
  • Effective communication and problem-solving skills
  • Ability to manage multiple priorities in a fast-paced environment
Work Environment:
  • Primarily office-based with extensive use of computers and EHR systems
  • May require occasional lifting of files or storage boxes (up to 25 lbs)
  • Potential exposure to confidential and sensitive patient information
