Job Title: Medical Secretary Compensation: $18.00 per hour Reports to: Practice Manager Supervisory Responsibilities: NonePosition Summary:The Medical Secretary is responsible for accurately scheduling patient appointments and performing a variety of administrative and clerical tasks to ensure efficient office operations. This role requires excellent communication skills, attention to detail, and a strong commitment to patient confidentiality and customer service.Essential Duties and Responsibilities:
Deliver exceptional customer service to patients, providers, management, and team members.
Schedule and reschedule patient and provider appointments accurately and in a timely manner.
Verify patient information during each visit and update records accordingly.
Answer incoming phone calls professionally and route them to the appropriate personnel.
Accurately take, document, and forward telephone messages using the EMR system.
Complete “Clip Program” tasks, which involve gathering and submitting dialysis-related information to the treatment facility prior to a patient’s start date.
Perform general clerical duties including filing, scanning, and indexing documents into electronic charts.
Manage requests for medical records from external offices and ensure timely processing.
Support various projects and administrative tasks as assigned by the Practice Manager.
Maintain patient confidentiality in compliance with HIPAA and organizational policies.
Perform other duties as assigned.
Education and Experience Requirements:
High school diploma or GED required.
Minimum of one (1) year experience in a healthcare or medical office setting.
Typing speed of 50 WPM preferred.
Required Knowledge, Skills, and Abilities:Knowledge of:
Healthcare/managed care industry policies and procedures
General office equipment (phones, computers, scanners)
Customer service standards and techniques
Office administrative operations
Skills in:
Effective use of office equipment and computer systems
Accurate data entry and basic calculator use
Providing high-quality customer service to diverse populations
Ability to:
Communicate clearly and professionally, both verbally and in writing
Establish and maintain effective relationships with patients, families, providers, and coworkers
Organize, prioritize, and complete tasks efficiently
Follow written and verbal instructions
File documents using both alphabetical and numerical systems
Interpret and apply company policies and regulatory guidelines
Working Conditions and Physical Demands:
Work is performed in a standard medical office environment with adequate lighting and ventilation.
Duties require frequent sitting, occasional standing, and routine use of a computer and office equipment.
Manual dexterity necessary for handling office tools such as keyboards, calculators, and phones.
