Job Description
Our customer is looking to fill the position of: central registration specialist who will provide support to clients seeking the agency's services and to physicians and clinicians providing those services. Prior experience in a medical reception role required.
Primary Essential Job Duties: Administration • Provide initial contact with clients and visitors as they access agency facilities. • Answers incoming calls for all programs and directs calls appropriately. • Greets clients and/or visitors for all programs as they enter building and direct/announce to appropriate service or employee once checked in. • Collects co-pay & self-pay for all programs. • Starts new intake paperwork for all programs. • Escorts clients as required. • Maintains clean & comfortable waiting areas for clients. • Opens the building making sure doors are unlocked, lights are on and set up petty cash for the day. • Closes building once the last client has gone. Make sure everything is locked, lights & AC is off, windows are closed & locked and reconciles cash. • Ensure appropriate postage for office mail prior to pick up. • Prepares and distributes interoffice mail for all programs. • Contacts facilities department with building issues as necessary.
Scheduling• Coordinate physician scheduling process & other needs.• Schedules initial and follow up client appointments by phone & at the front desk. • Manages no-show process, making calls and sends letters for outpatient services.• Advises providers of cancellations and works to fill those open slots. • Updates client data base as required. • Schedules and sends letters to all clients that are due for annual assessments and treatment plans. • Writes letters for providers as needed. • Enter contact notes and ensure they are getting details medical and medication information. • Prepare UDS samples for shipment. • Go through provider caseloads and call all unscheduled clients and send closing letters to clients that haven’t been seen for over 3 months.
Billing • Verifies payer source, makes a copy of insurance card and gets ROI for clients with new insurance for all programs. • Initiates billing paperwork for each client per message board instructions. • Updates demographic information on all new and existing clients upon check in for all programs.
Other Duties • Calls emergency personnel when emergency button is activated. • Scans appropriate areas for clients in the event of an evacuation. • Assists staff and clients as needed. • Works independently on research projects. • Maintains agency databases as assigned. • Creates reports as requested.
Physical Demands • Light, non-strenuous daily activities of an administrative nature. Regularly required to sit and use hands and fingers to write, type, operate the computer and use telephone communication devices. Regularly required to stand, walk, and move about the facility. Job duties necessitate reaching with hands; occasionally the employee must reach, pull or lift above shoulder level and may be occasionally required to lift, push, pull or carry 10-25 lbs. Some duties may necessitate occasional bending, stooping or squatting. Specific vision abilities required include close vision and ability to work for long periods with a computer screen
Work Environment • The usual environment is indoors in a well-lit heated and/or air-conditioned office or group meeting room. Assigned work may occasionally require the employee to travel to other sites within the local or neighboring communities.
